Working with documents
Opening a document
1. Register
Because forcomment is a secure service with an audit
trail, you must log in before you can open any document. To
log in, you must have completed the registration process.

2. Log in
Go to the Log in area by clicking home in the navigation
bar on the left-hand side of the screen. This is visible on
every page in the main site.
Log in using the login name and password you
chose when you completed your registration.
3. Your documents page
Your documents page opens when you log in.
At the top of the page is a table showing all the documents
that you are allowed to open.
Open any document by clicking on its name in the first column.
Some of your documents may be closed to new comments: these
are marked Closed in the Status column. You can still
open these documents and view the comments, but you cannot
add any new ones.

Reading comments on a document
1. Open the document

2. Open the comment box
When the document screen
is open, choose the sentence you want to comment on, and point
at it with the mouse pointer.
You will see that the pointer takes the form of a hand with
finger outstretched, as it does when you point at a hyperlink.
Click on the text, and the comment box will open in a separate,
smaller, browser window.

3. Read the comments
Existing comments are listed under three headings at the
top of the comment box.
- Date and time, assigned by the server when the comment
is submitted. All dates and times in the service are UK
time.
- The full Name of the user who made the comment.
- The Comment itself.
Comments are displayed with the most recent at the top.
If there is a live scroll bar on the right-hand side of the
comments box, you need to scroll down to see the oldest comments.

When you have finished reading, click Exit at the bottom
right-hand corner of the comment box.

Making a comment on a document

3. Make your comment
Type your comment into the field below the words Enter
further comments below. If your comment is longer than
the box displays, the field will scroll to accommodate it.
At this stage, you can change any part of your comment, or
abandon making a comment altogether by closing the comment
box.
4. Submit your comment
When you are satisfied with your comment, click Submit in
the bottom right-hand corner. This action will send your comment
to the server.
Once you have sent your comment, you cannot stop, edit,
or delete it.
The system works this way to preserve the integrity of its
audit trail. Think twice!

Posting a document
1. Can you post a document?
To post a document, you must be registered here as a full user
of Forcomment. If you are not registered, then you
can do this from the main document
page by clicking on the 'open an account' link.
2. Log in & follow the link
The your documents page
will open.
Click on Post a document, just below the table of
documents.
3. Select the document
The service will currently accept documents that are in Microsoft
Word or HTML (webpage) format. Most productivity applications
allow you to save your files as HTML.
You can identify the document you want to post in one of
two ways.
- Type in the full path to your file (e.g. C:/work/2001/KTT/planning/website_proposal.doc)
into the box - advanced users only.
- Click Browse to open a standard file selection dialog
headed Choose file.
Find your file, highlight it, and click Open.
In the box next to Enter a Name for the Document,
type in the name that will be seen by your guests.
4. Select participants
Fill in the names and email addresses of the people you want
to see your document.
You can invite up to five guests. If you need to invite more
than five, contact Technical Support using the email link
provided.
In the text box below your guest list, type any further explanation
or information you want your participants to see on their
invitation.
For example, All -- Here is the latest press release.
Comments by 6pm on Friday 7, please. HMcC
5. Complete
Click Upload. If all is in order, you will then see
a screen that tells you that the document will go live on
forcomment within 24 hours.
