The document screen
The document screen looks like this in Windows Xp. To learn
more about any element on the screen, click on it here.

Information
You have three items of information on the document:
- the document name;
- the total number of comments made on the document so far;
and
- the date and time of the last comment.
This means that you can easily see if any new comments have
been added since your last visit. The information is updated
when you open the document.
Top
Options
You have a choice of five actions in this part of the screen.
- Use Comment on Document to make remarks about the
whole document, as opposed to detailed comments on specific
sentences.
- Print prints the text of the document.
- Use Refresh to make the server update the document,
so that you can see highlighting on the text where you have
made comments. Otherwise, that text will show in red during
the session. If you return to the document later, all your
comments will be highlighted in yellow.
- Help gives you access to the Help function. It
will be launched in a separate browser window, so you will
still be able to see the document.
- Use Exit to close the document. You can also use
the standard close button in the top right-hand corner of
the document screen browser window.
This means that you can easily see if any new comments have
been added since your last visit. The information is updated
when you open the document.

The text
- In a document, you can make comments about any sentence,
heading, or list item. Click on the text where you want
to comment, and the comment box will appear. Just type in
your comments, and click Submit.
- Where comments have already been made, by you or by another
user, the text is highlighted in yellow. New comments are
not highlighted until the screen is refreshed. You can make
the screen refresh by clicking Refresh on the left-hand
side.
- While you have the document screen open, the text where
you have opened the comment box is shown in red. If you
have a list of comments to make, this helps you to keep
track of what you have already done.

Images
Some documents may contain images - drawings, maps, charts,
and so on. You can make your comments on these just as you
do on text. Simply click on the image, and the comment box
will appear.

The title bar
The document screen is a window created by your browser.
You can resize or close it using the normal window controls
in the top right-hand corner.
The comment box
The comment box normally looks like this in Windows Xp. To
learn more about any element on the box, click on it here.
If the document is closed, no new comments can be made. The
bottom of the comment box looks like this, and the prompt
line says Comments cannot be added to this document.
Existing comments
You can see comments that have already been made in the upper
part of the comment box. Each comment is labelled with the
name of the person who made it, and given a time-stamp.
There is a clear audit trail for every comment made in the
system. This is why, once you have submitted a comment, you
cannot change it: otherwise, you would be breaking the audit
trail.

New comment
You type your new comment into the box labelled "Enter
further comments below." Your comment will not be added
to the system unless you press the Submit button.
Remember, once you have submitted a comment, you cannot
change it!

Actions
You have a choice of three actions at the bottom of the comment
box.
- Submit sends the comment you have just made to
the server. Once done, this cannot be undone: your comment
will appear, labelled with your name. Think twice before
you click!
- Use Print to print a list of the comments on this
piece of text.
- Exit closes the comment box. You can also use the
standard close button in the top right-hand corner of the
comment box window.
Remember, once you have submitted a comment, you cannot
change it!

"Your documents" page
"Your documents" page looks like this. To learn
more about any element on the page, click on it here.

Documents table
The documents to which you have access are listed here, most
recent at the top. The table has five columns.
- Name shows the name of the document as a hyperlink. Click
on it to open the document.
- Owner shows the full name of the person who uploaded the
document, and who is paying for it. This may be you yourself,
or the person who invited you to look at the document.
- Created records the date and time that the server made
the document available for viewing. All dates and times
in the service are UK time.
- Status indicates whether the document is open or closed
to comments. If the document is closed, you can still enter
it and read comments, but you cannot add any new comments.
- Manage gives a choice of actions to the owner of the document.
This column is empty for those documents which you do not
own.
- Close - click on it to close the document to new comments.
You can still open it and read the existing comments.
- Re-open - so you can add new comments again, as well
as read existing ones.
- Delete - this function is not yet implemented. If
you want to delete a document, contact Jon
Thornber and ask him to remove it for you.
